Som löneadministratör hos oss kommer du att ingå i Human Resource/Crewing-team som består av 15 passionerade och stöttande kollegor i Sverige, Danmark och Storbritannien, redo att ge vår personal och besättning bästa möjliga service.

DAILY TASKS:
Coordinating our crew. Keep track of who is working where, when and in what position.
Plan and execute crew changes.
Co-ordinate courses/training for our crew, ensuring our offshore colleagues hold relevant documents.
Recruit new crew members.
Other general crewing administration such as issuing employment contracts, keep crewing program up to date, etc.

QUALIFICATIONS
We’re looking for you who is educated within shipping, HR or similar. Work experience within HR administration, similar administrative work or seagoing experience, is qualifying.
Since you will be in contact with plenty of people, both internally and externally, onshore and offshore personnel, it’s important that you have a natural way of creating good and trusting connections. You will work closely with the Crewing Team and other colleagues in our offices, therefore you need to be a team player.
To enjoy and thrive in this role you need to be flexible and possess the skill to work structurally and thoroughly, as the business is very varied. You are a fast learner and quick to adapt and perform in new, unfamiliar situations. You are well-known with Microsoft Office, you are fluent in English in both speech and writing.

YOUR TASKS
Prepare the monthly customer invoicing, collecting material from the organisation to secure that the correct invoices are sent to our clients.
Follow up on overdue invoices
First point of contact for client invoices
Support our Finance team with accounts receivable.
Report sales trends/statistics and KPI’s to relevant associations as well as internally
Support our Sales Managers and Head of Sales with various administrative matters such as updating and maintaining sales forecasts and sales material.
Coordinate tenders and quotations and secure that the material is presented to the clients in a professional manner.
Follow up on ongoing tenders.
Coordinate and follow up on customers inquiries and handling of incoming e-mails from clients.

YOUR PROFILE
You have a few years’ experience in an administrative / coordinating role, preferably in a sales and/or finance department. You have strong coordinating skills and have a structured approach with an eye for details.
To succeed in this role, you enjoy working in a fast-paced environment, can prioritize, and you are a team player. You are positive by nature, have a can-do attitude and are truly passionate about giving the best possible service to your customers. You are a confident user of Microsoft Office and can easily get acquainted with various IT systems. N-O-S has an international customer portfolio which means you need to be fluent in both a Scandinavian language and English.

DAILY TASKS
As a Payroll & HR administrator you are responsible for the entire payroll process; from time reporting, processing of payroll data and payment of salaries as well as extract salary reports etc. The payroll is both for office and for crew onboard our Swedish flagged vessels. Other tasks can be, but not limited to:
Administration of pension and insurances
Reports to authorities
Internal reporting
Interpret CBAs (Collective Bargain Agreements) to ensure correct payments
Managing the company employee survey

QUALIFICATIONS
We’re looking for you who have a high-school or post-secondary education. Previous experience from payroll is required.
To enjoy and thrive in this role you need to be flexible and possess the skill to work structurally and thoroughly, as the business is very varied. You are a fast learner and quick to adapt and perform in new, unfamiliar situations. You are well-known with Microsoft Office, you are fluent in English in both speech and writing.
TERMS OF THE EMPLOYMENT
Full time position, starting with probationary employment six months, which turns into a permanent position if all goes well.

YOUR TASKS
Be involved in the purchasing process – from the creation of purchase orders to following up on prices and deliveries.
Administer agreement system and stay up to date on current agreements and prices.
Approve invoices within the Purchasing department’s area of responsibility.
Administer medication orders and follow up on the arrival of goods to the vessel.
Contribute to the administration of target- and result monitoring.
Assist in various projects related to the Purchasing department, e.g. contact suppliers regarding meetings, evaluation material, payment terms.
Collect information for price comparisons.
Support operations based on the purchasing department’s areas of responsibility.
Assist in administration of IT and telephony.
If required, assist in transport and customs.
Be a part of digital automation projects.

Northern Offshore Services is an industry-leading supplier to the international Offshore wind industry and provides crew transfer vessels for the transport of personnel and equipment. We have designed and developed most of the vessels in our fleet ourselves. We have a huge amount of knowledge and experience within the company when it comes to vessel construction and reconstruction. Continually developing our vessel types and meeting the industry’s needs is a matter of course for us.
The Vessel Superintendents are responsible for the fleet and shall assist the crew in their daily operation, follow up on and monitor short-and long-term maintenance. In this position you will have the authority to make purchases of technical supplies and spare parts, work according to a 5-year plan and be responsible for their vessels' proactive and cost-effective planning.
The Vessel Superintendent´s responsibility is also to work within the limits for an annual budget.
Travelling and supervising on different yards and ports around Northern Europe is a natural part of the work and you will be a part of our technical department and included in a rolling jour schedule.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
-Overall management of the assigned vessels
-Ensure that assigned vessels is tradable at all times and that the crew are adequately supported to maintain the vessel to comply with classification and flag-state requirements.
-Travelling to assigned vessels on regular basis
-Planning of vessels maintenance and budget based on a 5-year plan
-Planning and supervising of vessels shipyards and repairs.
-Carry out regular technical inspections onboard assigned vessels
-Responsible for resolving and finalize technical issues for the assigned vessels
-Close follow up on the vessel's maintenance, ensuring optimal operational efficiency
-Coordinate Onboard Engineers and electricians for assigned vessels.
-Responsible to develop and maintain the assigned vessels Planned maintenance system
-Close cooperation with Crewing, HSSE-Q , Chartering and Purchase departments.
-Implementing safety and environmental standards so that the assigned vessels can operate safely.
-Provide technical support during non-office hours.
YOUR PROFILE
