DAILY TASKS:

You will work closely with the Crewing Team and other colleagues in our offices, therefore you need to be a team player.

DAILY TASKS
As a Payroll & HR administrator you are responsible for the entire payroll process; from time reporting, processing of payroll data and payment of salaries as well as extract salary reports etc. The payroll is both for office and for crew onboard our Swedish flagged vessels. Other tasks can be, but not limited to:
Administration of pension and insurances
Reports to authorities
Internal reporting
Interpret CBAs (Collective Bargain Agreements) to ensure correct payments
Managing the company employee survey

QUALIFICATIONS
We’re looking for you who have a high-school or post-secondary education. Previous experience from payroll is required.
To enjoy and thrive in this role you need to be flexible and possess the skill to work structurally and thoroughly, as the business is very varied. You are a fast learner and quick to adapt and perform in new, unfamiliar situations. You are well-known with Microsoft Office, you are fluent in English in both speech and writing.
TERMS OF THE EMPLOYMENT
Full time position, starting with probationary employment six months, which turns into a permanent position if all goes well.
This position will start as soon as possible.
You will be based either at our office in Gothenburg, Sweden or Copenhagen, Denmark.

YOUR TASKS
Be involved in the purchasing process – from the creation of purchase orders to following up on prices and deliveries.
Administer agreement system and stay up to date on current agreements and prices.
Approve invoices within the Purchasing department’s area of responsibility.
Administer medication orders and follow up on the arrival of goods to the vessel.
Contribute to the administration of target- and result monitoring.
Assist in various projects related to the Purchasing department, e.g. contact suppliers regarding meetings, evaluation material, payment terms.
Collect information for price comparisons.
Support operations based on the purchasing department’s areas of responsibility.
Assist in administration of IT and telephony.
If required, assist in transport and customs.
Be a part of digital automation projects.
In the longer term participate in supplier evaluations.


YOUR PROFILE
To be successful in this role we see that you enjoy working in a team, you have a service minded approach and the ability to maintain good working relationships.
We are looking for a person who has an eye for detail, can structure the work in a flexible and efficient way due to the Purchasing department’s needs.
Good communication skills and desire to deliver value to our organization and suppliers in your contacts both internally and externally.

REQUIREMENTS
A degree from university in either logistics, service, administration or other education that we deem to be equivalent.
Express yourself fluently in a Scandinavian language and English, in both speech and writing.
Good knowledge of the Microsoft Office package and an ability to work in different IT systems as well as familiarity with document management, compiling, adjusting, and searching for information.
Meritorious if you have knowledge in Danish and/or Swedish.

EXPERIENCE
Meritorious if you have experience from purchasing and/or administration.

Northern Offshore Services is an industry-leading supplier to the international Offshore wind industry and provides crew transfer vessels for the transport of personnel and equipment. We have designed and developed most of the vessels in our fleet ourselves. We have a huge amount of knowledge and experience within the company when it comes to vessel construction and reconstruction. Continually developing our vessel types and meeting the industry’s needs is a matter of course for us.
The Vessel Superintendents are responsible for the fleet and shall assist the crew in their daily operation, follow up on and monitor short-and long-term maintenance. In this position you will have the authority to make purchases of technical supplies and spare parts, work according to a 5-year plan and be responsible for their vessels' proactive and cost-effective planning.
The Vessel Superintendent´s responsibility is also to work within the limits for an annual budget.
Travelling and supervising on different yards and ports around Northern Europe is a natural part of the work and you will be a part of our technical department and included in a rolling jour schedule.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
-Overall management of the assigned vessels
-Ensure that assigned vessels is tradable at all times and that the crew are adequately supported to maintain the vessel to comply with classification and flag-state requirements.
-Travelling to assigned vessels on regular basis
-Planning of vessels maintenance and budget based on a 5-year plan
-Planning and supervising of vessels shipyards and repairs.
-Carry out regular technical inspections onboard assigned vessels
-Responsible for resolving and finalize technical issues for the assigned vessels
-Close follow up on the vessel's maintenance, ensuring optimal operational efficiency
-Coordinate Onboard Engineers and electricians for assigned vessels.
-Responsible to develop and maintain the assigned vessels Planned maintenance system
-Close cooperation with Crewing, HSSE-Q , Chartering and Purchase departments.
-Implementing safety and environmental standards so that the assigned vessels can operate safely.
-Provide technical support during non-office hours.
YOUR PROFILE
We value personal qualities and are looking for you who see service as a matter of course in your work.
You are thrilled and motivated by an entrepreneur-driven existence with high tempo.
You have Marine engineer or Master background, preferably from smaller tonnage.
You are a person with In-depth marine experience, preferably obtained from on-board and ashore within wind or oil and gas industry
You are able to travel on short notice
You are good at team working and motivating vessel crew.
You need to be proactive, flexible and find it motivated to find solutions to different issues that are not always planned.
You can prioritize, be persistent with very high work capacity.
You will be stationed at the head office in Gothenburg. The company also have offices in Denmark, Germany and United Kingdom.
